How to use the time card calculator
- Enter each day's clock-in and clock-out time. Leave days you didn't work blank.
- Add an unpaid break in minutes, such as 30 for lunch. For a split shift, use "Add shift".
- Choose weekly or biweekly, add your hourly rate, and pick rounding if your employer uses it.
- Print the timesheet with signature lines, or download it as a CSV for a spreadsheet.
How hours are calculated
Each shift is the time from clock-in to clock-out. Shifts that end after midnight count on the day they started. Unpaid breaks come off the day's total, and overtime is worked out separately for each 7-day workweek.
Worked example: a shift from 8:05 AM to 4:42 PM with a 30-minute lunch.
| Step | Result |
|---|---|
| 4:42 PM − 8:05 AM | 8 h 37 min |
| Minus 30 min unpaid lunch | 8 h 07 min |
| In decimal hours (7 ÷ 60 = 0.12) | 8.12 h |
The example week above totals 44.65 hours (44:39), including an overnight shift and a split shift, with 4.65 hours of overtime.
Common questions
How do I calculate hours worked on a time card?
Subtract the clock-in time from the clock-out time for each shift, then subtract any unpaid break. Add the days together for the weekly total. The calculator does this for you and shows each step under "How".
How do I convert minutes to decimal hours?
Divide the minutes by 60. 15 minutes is 0.25 hours, 30 minutes is 0.50 and 45 minutes is 0.75, so 7 hours 45 minutes is 7.75 hours.
How are overnight shifts handled?
If the clock-out time is earlier than the clock-in time, the shift ends the next day. 10:00 PM to 6:30 AM is 8.5 hours, counted on the day the shift started.
Can I enter a split shift?
Yes. Use "Add shift" to enter up to three clock-in and clock-out pairs in one day. The time between shifts is unpaid.
When does overtime start?
Under the federal Fair Labor Standards Act, non-exempt employees earn 1.5 times their regular rate for hours over 40 in a 7-day workweek. Each workweek stands alone, so a biweekly period is never averaged. Some states add daily overtime rules; check your state labor department.
What is the 7-minute rule?
When punches are rounded to the nearest quarter hour, 1 to 7 minutes round down and 8 to 14 minutes round up. Choose "Nearest 15 min" to apply it.
